Yes. During the selection WZ-IT provides demo instances of BookStack, XWiki, Docmost and Wiki.js with sample content. Your staff try all four systems themselves without committing to one beforehand; the demo instances are available for the duration of the selection. In addition we demonstrate the two finalists with your own sample content. We assess Outline only in the decision matrix, because its license excludes running it as a service.
Structure, permissions, sign-in and operations decide more than feature lists. BookStack enforces a fixed order of shelves, books and chapters and suits manuals and IT documentation. XWiki handles many areas, fine-grained permissions and structured data. Docmost offers simultaneous editing, but single sign-on is only part of the paid Business edition. Wiki.js suits technical documentation with Git. The selection weights these differences against your requirements.
Yes. Confluence exports spaces as XML with pages, comments and attachments. XWiki has a vendor migration tool that also transfers users, groups and permissions. Docmost imports Confluence from the Business edition. BookStack and Wiki.js have no Confluence import; there the migration runs via scripts and the API. Which route works is part of the migration path in the decision paper.
Since 30 March 2026 Atlassian no longer sells Data Center subscriptions to new customers. Existing customers can buy licenses and expansions until 30 March 2028. Data Center reaches end of life on 28 March 2029; instances then become read-only (Atlassian, Data Center end of life). Organizations that do not want to move to Atlassian Cloud should plan selection and pilot early.
Usually there are no owners per area, no clear structure and no rules on what belongs in the wiki and what in chat or file shares. The rollout therefore defines structure, roles and an editorial process with review intervals and trains key users. The selection checks beforehand which system fits the way you work.
