An employee is leaving. A procedure exists, yet questions remain: when does an exception apply, why was a particular supplier chosen, and who can help when equipment behaves unusually despite normal readings? A structured handover captures those connections.

This guide describes a possible approach. Its examples are hypothetical and are not WZ-IT customer cases.

Which subjects belong in a handover?

Start with the successor's tasks. A collection of every memory is difficult to review and apply. Prioritise decisions, recurring questions and rare situations with significant consequences.

Build a topic list with owners, existing sources and intended recipients. Schedule interviews early. Fraunhofer IPK describes facilitated transfer conversations and knowledge preparation for a leadership succession at the City of Cologne.

Which interview questions reveal practical expertise?

Questions about actual events provide context that can be checked. A useful guide might ask:

  • Describe the last case where the standard procedure was insufficient.
  • How did you recognise the need for a different approach?
  • Which information was missing?
  • Which alternatives did you consider and reject?
  • Who needed to be informed or approve the decision?
  • What would have happened if the decision had been wrong?
  • Does the approach still apply? What conditions have changed?
  • What should your successor practise?

Give the successor an opportunity to ask follow-up questions. Interviews can complement practical instruction, joint work and practice. They do not automatically transfer every physical skill or experience.

How does an interview become a reliable source?

Transcripts contain slips, abbreviations and statements missing their context. Check names, figures and conditions against the recording and existing documents. Flag unclear passages for follow-up.

Each prepared entry should record its subject, source, capture date, validity, subject-matter owner and approval status. Distinguish current rules from historical experience and open recommendations.

If an interview describes an old practice that contradicts current guidance, AI must not resolve the contradiction by declaring a new company standard. The responsible person decides what is approved.

What changes during leadership succession?

Leadership handovers focus on decision context, responsibilities, ongoing commitments and unresolved risks. Recipients differ: an onboarding guide may be shared with a team, whereas confidential executive topics may belong only to the successor.

Define recipients during capture. A shared folder labelled confidential does not replace access controls. A complete business succession also involves matters beyond technical knowledge retention.

What do AI and RAG contribute?

AI can assist transcription, structuring and follow-up questions. With RAG, the system retrieves relevant approved entries and supplies them to the language model when answering. This does not require training model weights.

An internal knowledge assistant can combine interviews with existing documents. Source references support verification. Missing information must remain a visible gap; a plausible answer is not evidence.

How do you check that the handover works?

Agree on practical successor questions in advance. Then check:

  • Can an authorised person find the relevant current source?
  • Does the answer preserve conditions and exceptions?
  • Is confidential content inaccessible to other user groups?
  • Does the system recognise questions the sources cannot answer?
  • Can the successor perform the documented task using the material?

Record gaps and discrepancies. Interview hours alone do not demonstrate a successful handover.

How does knowledge stay current after departure?

Assign subject-matter responsibility and review triggers: a process change, new guidance or repeated unanswered questions. Technical operations and editorial maintenance are separate responsibilities. A running server does not keep an outdated procedure accurate.
